Billing

  • Our standard billing rate for in-person and telehealth occupational therapy is $140-150/hr.

  • For those requesting home visits, travel is charged at $60.00/hr + $1.00/km mileage.

  • For BC Residents:

    • At-Home Program

    • Self-Design / Distributed Learning

    • Children’s Charities (Variety, CKNW, etc.)

    • Extended Health Coverage is available from some companies (e.g. Manulife)

  • Yes.

    We do not provide direct billing for extended health insurance. If your plan provides occupational therapy coverage, you can submit the email receipts that Everyday OT sends you when your payment is processed.

 

Policies

  • Your appointment time is reserved for you. A late cancellation or missed visit leaves a hole in the therapists' day that could have been filled by another client. Clients will be invoiced for sessions that are cancelled with less than 24 hours’ notice unless circumstances dictate otherwise. Due to the high volume of demand for Occupational Therapy services, this fee is intended to replace time that could have otherwise been scheduled with clients on the waitlist.

    If two (2) consecutive therapy sessions are missed or cancelled (without rescheduling), we may not be able to provide you with you preferred availability for future sessions.

    If you are running late to your appointment, we request that you inform your clinician ahead of time. In the event that you arrive more than 15 minutes past your scheduled time, the appointment will be treated as a late cancellation, and a no-show fee will incur.

  • Everyday OT is committed to ensuring our clinic is a positive, safe, and welcoming environment for anyone who works for or with us.

    We have a zero-tolerance policy for any verbal, written, or physical abuse. This includes anything that infringes on the dignity and well-being of another person. To that end, we recognize that some actions from our autistic clients, may be out of their control or in response to sensory or work demands that we do not understand. We do our best to discuss the risks, and mitigate them where possible to increase access and opportunities to services.

    Ultimately it is up to a therapist to decide whether they feel safe working with a client, and it is up to a client or caregiver to assess whether they are safe at our clinic, and withdraw consent if necessary.

  • Employees and occupational therapists contracting with Everyday OT are required to follow provincial mandates regarding COVID19. Our staff members are asked to stay home if they (or any of their family members) have a fever or any other COVID 19 symptoms. Everyday OT staff are expected to practice good hand hygiene and wear face masks during sessions. Clients are asked to wear face masks, unless they have a medical exemption or need a sensory processing accommodation.

    Our staff are all double vaccinated.

    If a face mask is deemed to interfere with intervention, both the clinicians and families can consent to working without a mask and sign a waiver of liability. If an agreement cannot be reached, services will be suspended until it is safe to begin again.

  • Our group sessions are offered on a prepaid package basis.

    Group work is dependent on group members attending every session. It will be most effective when everyone attends consistently. It is difficult to catch people up in a way that respects the attending group members’ time. Some of our groups require a certain number of people to participate in order for it to be economical for the clinic - for example, due to software subscriptions such as the Safe & Sound Protocol, or for travel to a distant location.

    Therefore, no refunds will be given after the group has begun.

  • Everyday OT is committed to providing a safe environment for the provision of services, both for the client and for the therapist.

    The client or the client’s primary caregiver must keep us informed of any changes in health conditions.

    We require clients to be free of nits, lice, respiratory or contagious illnesses or infections. If any of these are present, service provision is to be deferred or administered remotely, and the client is to be advised to seek medical treatment.

  • Everyday OT does not and shall not discriminate on the basis of race, color, religion (creed), gender, gender expression, age, national origin (ancestry), disability, marital status, sexual orientation, or military status, in any of its activities or operations. These activities include, but are not limited to, hiring and firing of staff, selection of volunteers and vendors, and provision of services. We are committed to providing an inclusive and welcoming environment for all members of our staff, volunteers, subcontractors, vendors, and clients.

  • Everyday OT is committed to listening to and engaging with autistic voices and advocates. We use a pro-neurodiversity, strengths-based approach to therapy. Our programming, frameworks, resources, and therapies are either supported by the #ActuallyAutistic community, build off work of autistic researchers, or have been audited or reviewed by autistic professionals or indivudals.

  • Direct billing is provided for clients using Autism Funding, At-Home Program Funding, or Self-Design funding to pay for services. Invoices are submitted once a month, at the end of the month. The required documentation / applications must be submitted and approved prior to services beginning.

    Private payers can pay for sessions prior to, or upon completion of the session. We accept cash and Interac e-Transfer payments prior to sessions. We require a valid credit card on file for those who wish to pay after receiving services. Receipts will be emailed to you after your payment has been processed.

    If you are pre-approved for therapy with another agency or organization, please let us know.

    We recognize that some insurance companies are willing to cover some services and not others. Please do not ask us to amend invoices in a way that changes the nature of the services provided. Under no circumstance will Everyday OT indicate false provision of services.

  • Everyday OT is committed to the privacy of our clients. We are bound by both standards of health care law and our regulating colleges to maintain client confidentiality.

    Our clinic is paperless. We use Jane App to manage our electronic client records. Paper work product, forms, and relevant documents are uploaded to Jane App and then destroyed. Jane App is compliant with Canadian privacy standards. It is a commonly used client management system in for allied health clinics.

    Despite all the steps we can take to mitigate the risk of privacy breaches, there are still risks associated with Telehealth and Electronic Communication. These are outlined in the Consent for Electronic Communication form that we complete with new clients.
